Model Job Description: General Remote Administrative Assistant

This evidence-derived model describes a person who keeps routine remote administrative work accurate, visible and moving: they clarify requests, coordinate messages and schedules, maintain records, follow up on assigned tasks and hand over exceptions. It is a reusable example, not an open vacancy or a universal employer policy. An employer must set the actual location, level, tools, hours, approvals and application route before using it.

Role purpose and level

The assistant supports [team or manager] with agreed administrative work so that requests are acknowledged, information can be found, deadlines are visible and the right person can act. The role covers core virtual assistance and general remote administration. It does not assume independent executive, financial, clinical, legal, property or hiring authority. An employer can set a supervised entry route or an experienced general-administration route; a job title alone cannot set the experience threshold.

An output is a checked work product, not a promise that an employer's response time, error rate or business result will improve. For example, a posting's 90-day data-error reduction target is a future goal, not an already observed assistant output.

Methods, tools and observable ways of working

Hard methods include professional email and calendar handling, time-zone checks, document formatting, digital filing, spreadsheet accuracy, meeting/action records and careful updates in a task system or CRM when the role uses one. An employer should name the actual systems and identify which skills are required at entry and which can be learned.

Requirements and preferences

The employer should place a criterion under required only when someone must have it to perform this particular role at entry. A practical general-administration posting may require clear communication in [working language], reliable remote access, accurate document and spreadsheet work, and the ability to follow agreed confidentiality and escalation rules. Where progression changes the description

An experienced executive-assistant posting may add complex multi-principal calendars, confidential correspondence, travel, decision briefings or independent systems improvement. A property, healthcare, legal, finance, construction or recruitment posting may require sector experience and named platforms.
