Curriculum

Four modules. Twenty applied lessons.

Module 1

Start and Scope Remote Work

Good remote support begins before a task is entered into a tool. You need to understand the request, its source, owner, deadline and limits so that routine work starts in the right place. In this section, you will practise intake, delegation boundaries, source checking, priority and enquiry routing. Your work products make uncertainty visible instead of hiding it in an inbox or a private note.

01Clarify and Record a Work Request

Learn to capture and clarify a work request before acting.

Five practical steps

  1. Capture the original request
  2. Confirm the intended result
  3. Name owner and deadline
  4. Ask for missing authority
  5. Record the first safe action

Primary deliverable: Work request intake record.

02Set Delegation and Approval Boundaries

Distinguish routine assistant work from actions that need an approver or specialist.

Five practical steps

  1. List the proposed actions
  2. Check written delegation
  3. Name each decision owner
  4. Hold actions needing approval
  5. Record the approval route

Primary deliverable: Delegation and approval map.

03Verify Information Before Use

Check source information before it becomes a message, document or decision input.

Five practical steps

  1. Locate the dated source
  2. Compare conflicting values
  3. Separate fact from inference
  4. Ask the owner to resolve conflict
  5. Record the usable source

Primary deliverable: Source-check note.

04Prioritise an Assigned Work Queue

Organise assigned tasks so owners, deadlines and blockers remain visible.

Five practical steps

  1. List assigned requests
  2. Confirm deadlines and impact
  3. Show dependencies
  4. Agree the priority order
  5. Set the next status check

Primary deliverable: Prioritised work queue.

05Route Customer Enquiries Safely

Handle routine enquiries accurately and hand specialist questions to the right owner.

Five practical steps

  1. Record the enquiry source
  2. Check the approved answer
  3. Draft a clear acknowledgement
  4. Route specialist questions
  5. Track the open response

Primary deliverable: Inquiry routing record.

Module 2

Coordinate Communication and Meetings

A clear message or invitation is useful only when it reaches the right people with the right facts and time. Remote teams also need meeting preparation and an honest record of what was decided and what remains open. Here you will prepare approved messages, check working hours across time zones, verify invitations, organise materials and track actions. You will inspect the result people actually receive rather than trusting a draft screen.

06Draft and Review Routine Messages

Create clear routine messages and check them before they are sent.

Five practical steps

  1. Trace claims to the brief
  2. Confirm the recipient
  3. Check links and attachments
  4. Request send approval
  5. Verify the sent version

Primary deliverable: Reviewed message packet.

07Check Availability Across Time Zones

Check local times and working hours before proposing a cross-time-zone meeting.

Five practical steps

  1. Date the proposed interval
  2. Convert every local time
  3. Compare working windows
  4. Confirm availability

  4. Resolve access defects
  5. Verify the authorised send

Primary deliverable: Invitation verification record.

09Prepare a Meeting Brief

Prepare a meeting so its purpose, materials and participant roles are clear.

Five practical steps

  1. State the meeting purpose
  2. Check participant roles
  3. Gather current materials
  4. Identify decision owners

  3. Record due dates
  4. Track open status
  5. Verify closure evidence

Primary deliverable: Meeting action register.

Module 3

Keep Records and Reporting Reliable

Documents, spreadsheets and contact records help a team work only when their source, version and access are clear. A status report should also separate finished work from items waiting for another owner. You will check files and data, record narrow system changes, report progress and prepare expense or invoice information for the authorised reviewer. Handling a record does not grant approval over a payment or specialist decision.

11Control Document Versions and Access

Keep documents retrievable, current and shared only with the right people.

Five practical steps

  1. Identify the current source
  2. Compare file versions
  3. Check access rights
  4. Share the approved version
  5. Record the document trail

Primary deliverable: Document control record.

12Validate Spreadsheet Data

Check spreadsheet information before using it in a report or record.

Five practical steps

  1. Check required fields
  2. Find duplicates and anomalies
  3. Trace values to source
  4. Correct supported errors
  5. Mark unresolved values

Primary deliverable: Spreadsheet validation sheet.

13Update CRM Records Accurately

Update contact records accurately and leave a clear change trail.

Five practical steps

  1. Verify the right contact
  2. Confirm the change source
  3. Check approval scope
  4. Review before and after
  5. Log the authorised change

Primary deliverable: CRM change log.

14Report Work Status Honestly

Report progress without marking another person's open work complete.

Five practical steps

  1. Gather current work records
  2. Check evidence of completion
  3. Separate open and closed
  4. Name blockers and owners
  5. Issue the status report

Primary deliverable: Routine status report.

15Prepare Expense and Invoice Records

Prepare accurate expense and invoice records while keeping approval with the authorised owner.

Five practical steps

  1. Collect source documents
  2. Match amounts and dates
  3. Flag discrepancies
  4. Route to finance review
  5. Record the pending decision

Primary deliverable: Expense and invoice support packet.

Module 4

Handle Change and Complete the Handoff

Plans change, links fail and requests sometimes reach beyond an assistant's authority. Reliable support means adjusting within the brief, protecting information and escalating the decision you cannot make. This section uses conditional travel and event work as a progression example, then practises exceptions, access checks and bounded AI assistance. You finish by handing off one complete request with a usable output and a truthful record of what remains open.

16Plan Delegated Travel and Events

Coordinate assigned travel or event details without making unapproved commitments.

Five practical steps

  1. Confirm the changed brief
  2. Compare travel or event options
  3. Check constraints and costs
  4. Request booking approval
  5. Record the approved plan

Primary deliverable: Event and travel logistics plan.

17Escalate Exceptions Clearly

Raise a problem early with enough context for the right person to decide.

Five practical steps

  1. Stop the affected action
  2. Capture facts and impact
  3. Name the decision needed
  4. Route to the work owner
  5. Track the response

Primary deliverable: Exception escalation brief.

18Protect Remote Work Information

Use approved access and sharing practices for remote administrative work.

Five practical steps

  1. Check data classification
  2. Confirm the recipient
  3. Use the minimum needed
  4. Pause an unsafe share
  5. Follow the local incident route

Primary deliverable: Access and privacy check.

19Check AI-Assisted Drafts

Use AI assistance as a checked drafting aid, with the source and human decision in control.

Five practical steps

  1. Check tool and data approval
  2. Compare draft with source
  3. Remove unsupported claims
  4. Verify names and figures
  5. Request human review

Primary deliverable: AI draft verification record.

20Complete a Work-Request Handoff

Complete a work request with a usable result and an honest handoff of remaining work.

Five practical steps

  1. Map the request sequence
  2. Check authorised actions
  3. Verify final outputs
  4. Separate open decisions
  5. Hand over owner and next check

Primary deliverable: End-to-end handoff record.

Applied capstone

Prepare a client kickoff coordination brief.

Apply only the course methods that fit one changed client kickoff and its open decisions.

The situation

A fictional client requests a Friday kickoff after a Thursday invitation was sent. The original link points to an old room, a CRM phone number conflicts with a signed form, and a vendor quotes a rescheduling fee. A replacement invitation remains a draft.

Your task

Check a proposed time across New York, London and Manila; distinguish the new room's internal test from an external participant test; request a narrow contact correction; route the fee for review; and show which decisions remain with the manager.

Client Kickoff Coordination BriefOne manager-ready recommendation with checked schedule and link facts, a contact correction request, finance handoff and honest open/closed status.

Frequently asked questions

Open the sections that matter to you, including delivery format, AI-supported practice and the evidence used to design the curriculum.

Who is this virtual assistance course for?

It is for aspiring virtual assistants, remote administrative assistants and coordinators who need a practical method for routine requests, meetings, records and follow-up. The exercises use a connected fictional remote-team case, so you can begin without access to an employer system.

How is the course organised?

The online, self-paced course has four modules, 20 applied lessons and a separate client-kickoff capstone. Each lesson develops one work product with a blank model, a completed example and AI-supported practice. The Role Starter Pack adds a model job description, an ATS-friendly resume template and a model operating playbook. Study time is Up to 1 month.

What will I be able to prepare?

You will practise intake records, messages, time-zone checks, invitation verification, meeting briefs, action registers, document and data checks, status reports and handoff records. The capstone asks for one manager-ready coordination brief, using the methods relevant to that situation.

How does AI-supported practice work?

Prompts help you organise supplied facts, draft an artifact and critique a complete prior output. You check the result against the source and local approval rules. Use synthetic or permitted information and follow your organisation's approved-tool and privacy instructions before using real workplace data.

What evidence informed the curriculum?

A dated vacancy study reviewed selected U.S., U.K. and Philippine roles, with separate samples of 40, seven and 53 requisitions respectively. The small U.K. set is a narrow comparator, not a general estimate of the role. A separate current-changes article examines dated tool and skills developments. The course turns these sources and a model role playbook into transferable practice, while local employer processes determine real permissions.

Do I need a particular software product?

No named calendar, CRM, spreadsheet or AI product is required for the fictional exercises. The course teaches checks that can be adapted to an employer's approved tools, account settings, access rules and decision rights.

What certificate and access will I receive?

After successful enrollment, you receive access through the MTF learning platform. The course includes a certificate activity for the MTF Institute professional course-completion certificate titled Professional Certificate in Virtual Assistance. The credential notice below explains its status.
