## Professional Certificate in Event Planning and Coordination

Successful events are built through connected decisions: a clear purpose, a workable programme, informed venue and supplier choices, usable attendee services, disciplined readiness and calm live coordination. This applied online course develops that complete coordination process through one realistic 250-person business conference.

Every lesson teaches a bounded professional capability and produces a practical workplace artifact. You will move from an initial request to schedules, budgets, supplier comparisons, attendee-service records, live control and evaluation. The applied capstone then asks you to prepare one coherent Event Coordination Plan for a sponsor, programme owner, venue and lead suppliers.

## Who this course is for

The course is designed for:

- event coordinators and event-planning assistants;
- conference, meeting and programme coordinators;
- marketing, communications and community professionals who deliver events;
- executive assistants and office professionals who coordinate business meetings;
- venue, hospitality and supplier team members who work with event clients;
- project and operations professionals adding event delivery to their responsibilities; and
- early-career professionals building a practical event-coordination portfolio.

The lessons explain the work from first principles and use plain professional English. Previous event experience is useful but not required.

## What you will be able to do

By the end of the course, you will be able to:

1. turn an event request into a clear purpose, audience, success measures and decision route;
2. shape an initial programme and define scope, assumptions and dependencies;
3. build a workback schedule and a controlled event budget;
4. define, review and compare venue and supplier options using consistent evidence;
5. design an attendee journey, registration-data plan and inclusive-requirements handoff;
6. translate the approved programme into a run of show, communication schedule and integrated logistics view;
7. prepare staff, volunteers, contingencies and readiness checks;
8. coordinate event day with visible priorities, throughput calculations, complaint routing and factual change records;
9. check supplier completion and invoice evidence; and
10. evaluate results and lead a debrief that creates owned improvements.

## Applied learning and professional artifacts

The course contains twenty lessons. Each lesson includes theory, a practical method, a connected case, a blank template, a completed example with reasoning, an AI-assisted practice workflow, professional checks and a workplace-transfer task.

You will learn how to create and use these twenty artifacts:

- Event Purpose and Success Brief;
- Stakeholder Requirements and Decision Map;
- Event Scope and Dependency Sheet;
- Event Workback Schedule;
- Event Budget and Forecast;
- Venue Requirements and Comparison Matrix;
- Supplier Requirements and Bid Comparison;
- Attendee Journey and Service Requirements Map;
- Registration and Data Field Plan;
- Inclusive Event Requirements and Specialist Handoff;
- Programme and Run-of-Show Baseline;
- Event Communications Schedule;
- Logistics and Services Matrix;
- Staff and Volunteer Briefing Pack;
- Contingency and Escalation Register;
- Venue and Supplier Readiness Check;
- Live Event Control Board;
- Issue, Decision and Change Log;
- Supplier Completion and Invoice Evidence Check;
- Event Evaluation and Debrief Dashboard.

These are ordinary workplace tools rather than abstract course exercises. Completed examples show how a coordinator uses evidence, assumptions, quantities, decisions, owners, checks and professional handoffs in a real delivery sequence.

### Applied Capstone — Prepare an Event Coordination Plan

The capstone places you in the role of coordinator for the Harbour Exchange Conference. You receive programme, venue, supplier, registration, staffing, access, cost and success information, including genuine uncertainties and decision boundaries.

Your task is to prepare one Event Coordination Plan for a working review. The plan connects purpose, decisions, milestones, cost, attendee services, readiness, live control, closeout and debrief. It gives colleagues a usable view of what is known, what must happen next, who acts and when a separate owner or specialist should decide.

## How the course works

The course is online and self-paced. A typical learner can complete it within one month, depending on study pace and the depth of practical work. Each lesson is a substantial English-language reading and practice unit, and the twenty artifacts can be adapted to another permitted workplace or fictional event.

The connected Harbour Exchange Conference case lets you practise the complete process without needing access to confidential company files. Its facts remain consistent across the course while every lesson supplies enough context to stand on its own.

## AI-supported practice

Every lesson contains a model-agnostic primary prompt and a critic prompt. The prompts help structure evidence, expose missing inputs, test arithmetic and improve a draft artifact. They also state which facts the tool must not invent and which results require human verification.

You remain the professional decision-maker. Before using a workplace example, follow your organisation's rules for approved tools, privacy, confidential information and information security. Verify dates, quantities, costs, claims and recommendations against authorised sources and keep approvals with the appropriate owner.

## Certificate

The final Moodle section provides access to the course certificate and MTF Student ID. The certificate carries the exact title **Professional Certificate in Event Planning and Coordination**.

## Evidence behind the course

The curriculum is grounded in a structured review of 100 event-coordination vacancies and a separate review of current practice:

- [Event Planning and Coordination in 2026: Evidence from 100 Vacancies](https://mtfinstitute.com/insights/event-planning-coordination-100-vacancies-2026/) examines recurring employer expectations across planning, logistics, stakeholder work, vendors, venues, budgets, documentation and live delivery.
- [From Brief to Debrief: The Event Coordinator's 2026 Control Loop](https://mtfinstitute.com/insights/brief-to-debrief-event-coordinator-2026-control-loop/) connects those expectations to current coordination practice, responsible AI assistance and an evidence-led event control loop.

The supporting research dataset and method are preserved in the published [Zenodo record](https://doi.org/10.5281/zenodo.22178908).

## Frequently asked questions

### Is this course suitable for someone starting in event coordination?

Yes. The course begins with purpose, audience, scope and stakeholder decisions before progressing through schedules, budgets, venues, suppliers, attendee services, readiness, live coordination and evaluation. Previous event experience is useful but not required.

### Which profession does the course prepare me to understand?

The closest profession is Event Coordinator. The methods are also relevant to event-planning assistants, conference and meeting coordinators, executive assistants, marketing professionals and operations staff who coordinate business events.

### What practical work will I complete?

Each of the twenty lessons teaches one distinct professional artifact, including briefs, schedules, budgets, venue and supplier comparisons, attendee-service plans, run-of-show records, readiness checks, live control boards and evaluation dashboards. The separate capstone requires one Event Coordination Plan.

### How does the course use AI?

AI Practice is model-agnostic and limited to source-bound organisation, comparison, arithmetic checks and critique. Learners verify every retained fact, calculation, operating status and proposed action.

### Does the capstone require all twenty lesson artifacts?

No. The capstone presents one new conference and asks for one principal Event Coordination Plan. Relevant course methods may be reused, but the twenty lesson artifacts do not need to be assembled or audited.

### What evidence supports the curriculum?

The curriculum is connected to original MTF Institute analysis of 100 current public vacancies, an open Zenodo research archive and a current professional-practice article. Links are provided on the program page.

### How long does the course take?
